By creating an account and using Dental Notes AI ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service.

By creating an account you confirm that you are a registered dental professional and that your GDC number (or equivalent) is valid and current. We reserve the right to verify GDC registration and to suspend or terminate accounts where registration cannot be confirmed.
Dental Notes AI provides an AI-assisted tool that:
The Service is a documentation assistance tool only. It is not a medical device, clinical decision support system, or substitute for professional clinical judgement.
This is the most important section of these Terms. Please read it carefully.
4.1 All clinical notes generated by Dental Notes AI are drafts only. You are solely responsible for reviewing, verifying, amending, and approving all notes before they become part of any patient record.
4.2 You must not copy AI-generated notes into patient records without first reading and confirming their accuracy and completeness. The AI may misinterpret, omit, or incorrectly document clinical findings.
4.3 The responsibility for the accuracy and completeness of all clinical records rests entirely with the treating clinician. Dental Notes AI accepts no liability for inaccuracies in AI-generated notes or for any consequences arising from their use in patient records.
4.4 The Service does not replace your obligation to comply with GDC Standards for the Dental Team, NHS contractual obligations, CQC requirements, or any other applicable professional or regulatory standards.
4.5 The term "GDC Compliant" or "Designed for GDC Standards" used in the Service refers to the note structure and content the AI attempts to produce. It does not constitute a guarantee that any generated note will satisfy GDC requirements in any specific case. Compliance remains your professional responsibility.
You agree to use the Service only for lawful purposes and in accordance with these Terms. You must not:
6.1 You are the data controller for any patient information you process using the Service. We are the data processor. You must ensure your use of the Service complies with UK GDPR and your own data protection obligations as a healthcare provider.
6.2 You must not enter directly identifiable patient data (names, dates of birth, NHS numbers, addresses) into the Service. Consultations should be dictated using tooth notation, clinical descriptors, and where necessary, patient initials only.
6.3 A Data Processing Agreement (DPA) is available on request at hello@dentalnotesai.co.uk. Where required by UK GDPR, you should execute a DPA before using the Service with patient data.
6.4 Consultation transcripts and generated notes are never stored on our servers. They are processed transiently and discarded immediately after each API call.
7.1 You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.
7.2 You must notify us immediately at hello@dentalnotesai.co.uk if you suspect any unauthorised use of your account.
7.3 We reserve the right to suspend or terminate accounts that we reasonably believe are being shared between multiple users or used in breach of these Terms.
8.1 New accounts receive 10 free consultations ("Free Trial"). No payment is required during the Free Trial.
8.2 The Free Trial is available once per person. Creating multiple accounts to extend the Free Trial is a breach of these Terms.
8.3 We reserve the right to modify or discontinue the Free Trial at any time.
9.1 After your Free Trial, continued use of the Service requires a paid subscription.
9.2 Subscription fees are charged monthly or annually in advance as selected at the time of purchase.
9.3 Subscriptions renew automatically. You may cancel at any time through your account settings or by emailing hello@dentalnotesai.co.uk. Cancellation takes effect at the end of the current billing period. No refunds are provided for partial periods.
9.4 We reserve the right to change subscription prices. We will give you at least 30 days notice of any price increase by email. If you do not wish to continue at the new price, you may cancel before the new price takes effect.
9.5 Payments are processed by Stripe. We do not store payment card details.
10.1 The Service, including its design, code, AI prompts, and all content we produce, is our intellectual property and is protected by copyright and other applicable laws.
10.2 You retain ownership of the clinical notes generated through your use of the Service. We claim no ownership over notes you create using the Service.
10.3 You grant us a limited licence to process your consultation transcripts solely for the purpose of generating notes as requested.
10.4 You must not attempt to extract, copy, or reproduce the AI system prompts used by the Service by any means.
11.1 We aim to maintain high availability but do not guarantee uninterrupted access to the Service. The Service may be unavailable due to maintenance, technical issues, or factors outside our control.
11.2 We are not liable for any loss arising from Service unavailability.
11.3 We reserve the right to modify, suspend, or discontinue the Service at any time with reasonable notice where possible.
12.1 To the maximum extent permitted by law, we shall not be liable for any:
12.2 Our total liability to you for any claim arising from use of the Service shall not exceed the total subscription fees paid by you in the 3 months preceding the claim.
12.3 Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be lawfully excluded.
You agree to indemnify and hold us harmless from any claims, losses, or damages (including legal costs) arising from:
14.1 We may suspend or terminate your account immediately if you breach these Terms, fail to maintain a valid subscription, or if we reasonably believe your account poses a risk to the Service or other users.
14.2 You may terminate your account at any time by contacting hello@dentalnotesai.co.uk.
14.3 On termination, your access to the Service will cease. Account data will be deleted in accordance with our Privacy Policy.
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
We may update these Terms from time to time. We will notify you of material changes by email at least 14 days before they take effect. Continued use of the Service after that date constitutes acceptance of the updated Terms.
